SAMOS Conference Registration

The SAMOS International Conference will be held in Samos, Greece on July 15-18, 2013.

REGISTRATION PROCEDURE

The registration procedure is described in the following. If you registered in the past to the Samos conference, you can use your old username and password to log in.

  • Go to the registration website: link. Either log in or create an account, if you are a new user.
  • Go to "Conferences", carefully read the information and click on "Register".
  • Fill in all the necessary information and, once the form is validated, click on "Submit". The system will email you the form in PDF format. Alternatively, you can download a copy of the form from you "Account".
  • Print out the PDF file, verify it, SIGN it, and upload a copy of it in your "Account" in the appropriate field.
  • The administrator will verify the form and, once it is approved, you will receive a second email informing you that you can proceed with the actual payment. If you chose bank transfer, the bank information are included in the registration form. If you chose Paypal, a link will appear in your "Account" to finalize your payment. The Paypal service does not require the user to hold a Paypal Account. Only a valid credit card is necessary to perform the payment of the conference fee.
  • The payment of the registration fee by cash on site needs to be approved by the finance chair. If you want to pay cash on site, you have to register in the system and select the option "I will pay by cash on site" in the registration form. You will be notified when this is approved.
  • Samos XIII will award 10 travel grants of 300 Euros each one (Link). If you received a travel grant to attend the conference, you still have to register and pay the appropriate conference registration fee. The travel grats will be assigned in Samos, during the conference.


INFORMATION AND DEADLINES FOR AUTHORS AND PARTICIPANTS

  • Conference authors are requested to register and pay their fee by May 10, 2013 and to indicate the number of additional persons participating in the different events. The conference authors are required to pay the full early registration fee (425 €). Papers cannot be published in the proceedings unless one of the authors has registered and the payment of the registration fee (with the additional page charges) has been received. According to IEEE policy, each of the paper accepted for publication in the SAMOS XIII proceedings has to be presented in the conference by one of the authors, or somebody appointed for them.
  • Participants to the conference are requested to register and pay their fee before June 24, 2013 to be eligible for the early registration fee and to indicate the number of additional persons participating in the different events.
  • NOTE FOR AUTHORS: In case you are an author of more than one paper in the SAMOS conference, you need to register only ONCE. Anyhow, all additional pages have to be paid. Please indicate correctly, which papers you are authoring (both the title and the submission number) in the appropriate field in the registration form and correctly add up all the additional pages. 8 pages are included with the registration fee. Up to 2 additional pages per paper can be purchased at a cost of 100 euro per page.
  • We encourage all the attendees of the SAMOS Conference to fill in the appropriate field in the registration form about the chosen accommodation to allow the organizer to schedule the bus service (only available for people staying in Kokkari. The bus schedule will be published one week before the conference). In case this information is not available at the time of the registration, you can send this information by email to C.Galuzzi@tudelft.nl by July 6, 2013.


The registration fee for the SAMOS conference includes:

  • One copy of the conference proceedings (USB Stick)
  • Conference attendance (Regular and Special Sessions)
  • Drinks during breaks
  • Conference Dinner (July 17, 2013)
  • 1 boat trip including lunch (July 15, 2013)
  • Lunch during the hiking trip (July 18, 2013)


Registration fees:

     Early Conference Fees

  • Full Registration Early: 425 € 
  • Student Registration Early: 275 € 

     Late Conference Fees

  • Full Registration Late: 525 € 
  • Student Registration Late: 375 €

Additional fees:

  • Boat trip: adult: 20 € - kid: 10 € 
  • Conference dinner: adult: 30 € - kid: 15 € 
  • Hiking trip: adult: 20 € - kid: free 
  • Extra proceedings (USB Stick): 15 € 
  • Extra page: 100 € per page (max 2 pages per paper)

All participants are encouraged to register as soon as possible to allow us a better scheduling of the social events. All bank transfers and Paypal payments must be received before July 8, 2013.
Cancellation is allowed if requested in writing before June 24, 2013. A handling fee of 50 € will be charged. Fees cannot be refunded for cancellations requested after June 24, 2013 or for author registrations. Important Date:

  • May 10, 2013: Author registration deadline
  • June 20, 2013: Early registration deadline
  • June 24, 2013: Cancellation deadline
  • July 8, 2013: All bank transfers and Paypal payments must be received before this date. If payment cannot be done in time, payment has to be done in CASH on-site after approval of the finance chair.
